Refund Policy

How Refunds Work at Oral Billing Solutions

Oral Billing Solutions bills dental practices for ongoing work, so refunds follow different rules than a one-time purchase. This policy explains how our fees work, when a refund applies and how to ask for one. It covers fees you pay directly to our company, and it does not cover payments from insurers or patients.

Each client signs a service agreement that sets the fee and the scope of work. If the agreement and this policy ever conflict, the agreement controls. We put every rule in writing before work starts, so no charge arrives as a surprise.

How Our Fees Work

Your service agreement sets your fee as a flat monthly rate, a percentage of collections or a per-claim charge. Each fee pays for the work completed in that billing period.

When a Refund Applies

We review every request individually. The lists below show the usual outcomes. When a qualifying error occurs, we refund or credit the affected fee.

  • A billing or coding error made by our team
  • A duplicate charge
  • A charge outside the scope of your agreement
  • An invoice that does not match your agreement
  • Claims denied after correct submission
  • Delays caused by incomplete practice information
  • Work completed before cancellation
  • Payer reimbursement rates and amounts

Disputed Charges

Raise any invoice question within 30 days of the invoice date. After that window, we treat the charge as accepted.

Three Simple Steps to Request a Refund Review

Every request follows the same path, so you always know who is reviewing your account and what comes next.

  • Step 01 : Email Us
  • Send your account name, the invoice in question and a short explanation to support@oralbillingsolutionsllc.com.

  • Step 02 : We Review
  • Our team compares the charge with your service agreement and your work history.

  • Step 03 : Receive a Written Decision
  • You get our answer in writing, with next steps if a refund or credit applies.

Cancellation and Outstanding Fees

Written notice sent by email cancels your service. Cancellation takes effect at the end of the current billing cycle unless your service agreement states a different date. Work completed before that date stays payable and is not refunded. Our Terms and Conditions page explains the details.

Changes to This Policy

We may revise this policy when our fees or services change. The date at the top shows the latest update, and you can ask us for a copy at any time.
